Some school boards have appointed members that are not proprietor's appointees.

Appointees may be from organisations or body corporates associated with the school, such as a whānau collective, an Iwi Education Authority, or the Minister of Education.

If an appointee resigns or can no longer be on the board for another reason, a "vacancy" occurs.

There is another way to create a vacancy for an appointee.

We'll discuss all the possible ways in the next section.

While it's the responsibility of the organisation or body corporate to fill the position, there are some things your board needs to do.

How does a vacancy happen?

A vacancy occurs when an appointed board member:

• Dies or is incapacitated
• Resigns in writing to the organisation that appointed them
• Is no longer eligible to be a board member open_in_newfor a financial or other reason
• Misses three board meetings in a row without the board approving "prior leave".

A vacancy can also occur if your board increases the number of appointee positions on the board by altering its constitution.

Does the organisation or body corporate have to fill the casual vacancy?

When a vacancy occurs, the organisation or body corporate will need to find someone to fill the position.

How they select them and when they do so is up to them, but this is normally done as soon as practicable.

What does your board need to do?

Once your board has been advised about the new appointee (or if the position will be left vacant), you need to:

• Record the details in your board meeting minutes
• Update your board member registeropen_in_new and complete the School Board Updatesopen_in_new form
• Advise your school community of the changes
• Alter your board's constitution (if the position will be left vacant).
